Crew Connect Privacy Policy
Crew Connect is a timesheet application that employers use to record when their crews start and stop work. This policy explains what Crew Connect collects, why, who sees it, and the choices you have. It is written for the people whose time is recorded — field workers and administrators — as well as for the employers who subscribe to the service.
Who we are
Crew Connect is operated by App Integration Solutions, LLC, a Massachusetts limited liability company ("we", "us"). Your employer subscribes to Crew Connect and decides which of its employees use it; we process your information on your employer's behalf and under its instructions. Questions about how your employer uses your time records should go to your employer. Questions about this policy or about Crew Connect itself can be sent to support@crewconnect.live.
What we collect
- Account information. Your name, an email address and, for field crew, a mobile phone number. Your employer enters these when it adds you to its account; field crew see them, masked, on the screen where they set up their own access. Entering your number is not permission to text it — that permission is yours alone to give, on your own set-up screen, as described under Text messages. Field crew sign in with a one-time code rather than a password; an administrator invited by email has an email address and a password, and one promoted from the crew keeps signing in with a code.
- Clock events. Each time you clock in or out, Crew Connect records the date and time, the job site and cost code you chose, and — if your device allows it — your device's GPS location at that moment. Location is captured only at the moment you clock in or out. Crew Connect does not track your location continuously or in the background.
- Photographs. Field crew are asked to take a photograph of themselves when they clock in and out. The photograph is stored with that clock event so your employer can confirm who recorded it.
- Technical information. Standard server logs: the address your device connects from, the pages and API requests it makes, and the browser or app version, used to keep the service running and secure.
How we use it
To produce timesheets and payroll reports for your employer; to let your employer confirm that clock events were recorded by the right person at the right place; to sign you in and keep your account secure; and to operate, maintain and improve the service. We do not use your information for advertising.
Text messages
How you agree to them. Crew Connect never texts a phone number without the permission of the person who holds it, and your employer cannot give that permission for you. If you are field crew, you give it yourself, on the set-up screen your link opens: it shows the number your employer entered, masked, beside a box that is unticked until you tick it and reads "Text my sign-in codes to" your masked number — for example (508) ***-0100 — with the frequency, message-rate and STOP information and links to this policy and the terms beside it. The box is optional. Leaving it empty gives you a working account whose sign-in codes arrive by email. Ticking it records on our servers that you agreed, when, from which network address, and to which wording. The set-up link itself is never texted; it reaches you by email, or from your employer in person as a code to scan or a link to open.
What is sent. Once texting is switched on, Crew Connect sends text messages only to a number whose holder ticked that box, and only for one purpose: your one-time sign-in code. These are account-service messages; Crew Connect does not send marketing or promotional texts. Message frequency depends on how often you sign in. Message and data rates may apply. Reply STOP to stop receiving texts — you can still sign in by asking for your code by email instead. Reply HELP or email support@crewconnect.live for help. If you did not tick the box, nothing is ever texted to you.
Mobile phone numbers and SMS consent information are not shared with, sold to, or provided to any third party or affiliate for marketing or promotional purposes. Your phone number is used only to identify your account and to deliver the messages described above.
Who can see your information
- Your employer. Administrators at your employer see your clock events, locations, photographs and the reports built from them. That is the purpose of the service.
- Service providers that run Crew Connect. Amazon Web Services hosts the application and stores its data, and Twilio delivers text messages. They process data only to provide those services to us.
- No one else, except where the law requires it or to protect the safety of a person or the security of the service. We do not sell personal information.
How long we keep it
Time records are payroll records. They are kept for as long as your employer's account is active and for as long afterwards as your employer is required to retain payroll records under applicable law. Your employer can ask us to delete its account and data.
Security
Data is encrypted in transit and at rest. Sign-in is by a one-time code, or by password. Access to your employer's data is limited to the people your employer has added as administrators.
Your choices
You can review your own recorded time in the app. To correct or delete information, or to ask what we hold about you, contact your employer, who controls the account, or email support@crewconnect.live. You can decline location or camera permissions on your device; your employer decides whether a clock event without them is accepted.
Children
Crew Connect is a workplace tool for employees and is not directed to children. We do not knowingly collect information from anyone under 16.
Changes
If this policy changes in a way that matters, the effective date above changes with it. Continued use of Crew Connect after a change means the updated policy applies.
